How to execute a "refund" for a credit card transaction
Notes.
You will need manager access for this.
Card will need to be present or full card number information and expiration date to process the refund.
You can only refund for the full amount that was charged. You cannot do a partial refund. If you need to refund a partial amount, you can refund the full, then re run the correct amount or issue back a gift card for the amount needed for refund
NOTE : You can only do full "refund" for credit card transactions and you can only "refund" a CC transaction by voiding the transaction that has been batched out.
STEP 1: Click on the 3 vertical dots.
STEP 2: Click on Ticket Manager
STEP 3: Use the calendar and pick the day the transaction took place
STEP 4: Click on ticket that has the CC transaction
STEP 5: Double check that card number of ticket is the correct one that needs to be voided/refunded
STEP 6: Once you verify that this is the correct ticket, click on Edit.
STEP 7: Locate credit card transaction
STEP 8: Next to the credit card payment, click on the X
STEP 9: Once you verify again that the card info matches that card you want to void, click on the X
STEP 10: A prompt will come up to confirm you are sure you want to void the payment, click Yes.
STEP 11: Terminal will prompt for customer to insert card to execute refund.
If the card is not present, you will need the full card & expiration (You can bypass CVV, address, & zip by clicking on green OK button on terminal).
If it asks for signature, have merchant click on the cancel button on the terminal screen. Then on terminal screen click NO to Bypass signature.
STEP 19: Print receipt, have merchant keep it.
STEP 12: You will have an outstanding balance, so process the payment external terminal so ticket can be kept for records. Click on CREDIT, and then ask merchant to click Cancel (red button on terminal), then on POS click EXTERNAL option and input last 4 of card. Then close ticket.
